Privacy policy

This policy explains how we collect, use and protect your personal data when you use bookacelebrant.co.uk (the “website”), under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Last updated: October 2026.

1. Who we are

Book A Celebrant is a trading name of Ben Hancock, a sole trader, 97 Hudds Vale Road, Bristol, BS5 7HR. Ben Hancock is registered with the Information Commissioner’s Office (ICO) under registration number ZC279132.

We are the data controller for personal data collected through this website. Book A Celebrant is an introduction service: we do not conduct ceremonies ourselves. We pass enquiries to suitable celebrants or celebrant providers who can quote for your ceremony.

You can contact us about this policy or your data by email at hello@bookacelebrant.co.uk or by phone on 0117 911 3632.

2. What we collect

  • Quote enquiries (online quote form): your name, email address and telephone number, the type of ceremony (such as a wedding, vow renewal, naming, humanist or funeral/memorial ceremony), the date of the ceremony, the region or county, the name of the venue, the number of guests, the length of ceremony, and any other details you choose to tell us. To confirm your email address, we may send you a verification code.
  • Shortlist: if you save celebrants to a shortlist, this is stored in your browser so the website can remember your choices.
  • Emails and calls: the information you share when you contact us directly.
  • Technical data: your IP address, browser and device information, the pages you visit, and data collected by cookies and similar technologies (see section 7).

Please do not send us special category data, such as health information, unless it is genuinely needed for your enquiry.

3. How we use your data and our lawful bases

  • To pass your quote enquiry to suitable celebrants or celebrant providers so they can contact you and quote (your consent, given when you submit the form, and our legitimate interest in providing the service you asked for).
  • To respond to your questions and follow up on your enquiry (legitimate interests, or steps taken at your request before entering into a contract).
  • To run, secure and improve the website and to understand how the website is used (legitimate interests and, where required, your consent).
  • To meet our legal obligations, for example keeping records or responding to lawful requests (legal obligation).

We do not use your data for automated decision-making that has legal or similarly significant effects on you.

4. Sharing your quote enquiry

When you request a quote, we share your enquiry, including your contact details and the ceremony details you provide, with one or more suitable celebrants or celebrant providers that we consider relevant to your ceremony, location and date, so they can contact you about it.

Those celebrants and providers become independent controllers of your data and use it under their own privacy policies. They may pay us for the introduction. Any booking or contract for a ceremony is between you and the celebrant or provider you choose, and they are responsible for their own services.

We do not sell your data to anyone else or use it for unrelated marketing.

5. Other recipients

Our service providers, such as website hosting, email and form providers, and Google (for website analytics), process data on our behalf. We may also disclose data where required by law or to protect our legal rights.

6. International transfers

Some of our providers, such as Google, may process data outside the UK. Where they do, we rely on UK adequacy regulations or appropriate safeguards, such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.

7. Cookies and similar technologies

We use:

  • Essential cookies and browser storage: needed for the website, its quote form and the celebrant shortlist to work, and for security.
  • Google Analytics: the Google tag (gtag.js) helps us understand how visitors use the website, such as pages viewed and how people arrive. This includes an older Universal Analytics tag that Google no longer uses to collect data. It can set cookies and send information about your visit to Google. Find out more in Google’s privacy policy at policies.google.com/privacy.

You can opt out of Google Analytics using Google’s browser add-on at tools.google.com/dlpage/gaoptout. You can block or delete cookies in your browser settings. If you block cookies, some parts of the website may not work properly.

8. How long we keep data

We keep quote enquiries and related correspondence for up to 6 years, then delete or anonymise them, unless we need to keep them longer to meet a legal obligation or to deal with a complaint or claim.

9. Your rights

Under UK GDPR you have the right to:

  • access the personal data we hold about you
  • have inaccurate data corrected
  • have your data erased
  • restrict or object to our processing
  • data portability
  • withdraw your consent at any time (this does not affect sharing that has already taken place)

To use any of these rights, email hello@bookacelebrant.co.uk. If a celebrant or provider we introduced you to holds your data, you can also contact them directly. If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

10. Security

We use appropriate technical and organisational measures to protect personal data, including encrypted connections (HTTPS) on this website. No method of transmission over the internet is completely secure, but we work to protect your data.

11. Changes to this policy

We may update this policy from time to time. The latest version will always be published on this page.
